For Australian online retailers and finance leads connecting a web store to NetSuite, with GST, payouts and returns set up right.

NetSuite ecommerce integration in Australia connects your online store to NetSuite so orders, stock, refunds and payouts move without rekeying. NetSuite stays the system of record for items, prices, inventory and the ledger. The store takes orders. The setup that matters most is GST inclusive pricing, partial refunds and a payout that reconciles to the bank.

  • Decide which system owns each record before anyone maps a field.
  • Set Prices Include Tax on items so an A$110 store price posts as A$100 plus A$10 GST.
  • Leave store sales undeposited so each payout can be built as one deposit with its fees.
  • Give the error queue one named owner who checks it every morning.

What is NetSuite ecommerce integration in Australia?

An ecommerce integration is the agreed set of records that moves between your web store and NetSuite, in which direction and how often. It also decides what happens when a record fails.

In NetSuite this usually runs through NetSuite Connector or an integration platform. NetSuite Connector has prebuilt flows for Shopify, BigCommerce, Adobe Commerce and WooCommerce, plus marketplaces, third party logistics providers and point of sale systems. A platform or custom build suits stores with unusual data, many channels or heavy volumes.

The Australian part is mostly about tax and money: GST inclusive prices, partial refunds and payouts that arrive net of fees.

Which records should move between the store and NetSuite?

Agree this table with sales, warehouse and finance before the build starts. Every row needs an owner and a timing.

Keep the item master in NetSuite. If staff edit prices in the store, the two systems drift. Match items on SKU in both systems.

Send stock by location, not as one total. An Australian retailer often has a Sydney warehouse, a Melbourne warehouse and a few stores. NetSuite Connector can map store locations to NetSuite locations, so the store shows stock from the places that can fill the order.

How do you set up GST so the store and NetSuite agree?

Australian shoppers see GST inclusive prices. NetSuite needs to know that, or it will add 10 percent on top of a price that already includes it.

  1. Open each sold item and go to the Sales/Pricing subtab. Set Prices Include Tax so the price you enter is the GST inclusive price.
  2. On the item's Accounting subtab, set the right tax code. Most goods take the standard GST code. GST free items need their own code.
  3. Set up your shipping items the same way, because delivery charged with a taxable sale usually carries GST too.
  4. Map each store tax line to the matching NetSuite tax code in the connector, so the store's GST and NetSuite's GST are the same number.
  5. Place a test order for an A$110 item with A$11 delivery. NetSuite should show A$110 net, A$11 GST and A$121 in total.
  6. Refund only the delivery on that test order. The credit should reverse A$10 net and A$1 GST, nothing more.

If your account uses SuiteTax, turn on Tax Inclusive Pricing at Setup > Company > Enable Features > Tax. A Prices Include Tax box then appears on transactions. Ask your tax agent to confirm codes for GST free or mixed supplies.

Partial refunds are where most errors show up. Test a refund of one line, a refund of shipping only and a refund with a discount code applied. Our ecommerce returns integration test cases list more scenarios to run.

Connect the store in seven steps

  1. Pick the connection. Use NetSuite Connector if your store and flows match its prebuilt mappings. Choose an integration platform if you need custom logic.
  2. Map items by SKU. Load the item master to the store from NetSuite and fix any duplicate or missing SKUs first.
  3. Map locations. Link each store location to a NetSuite location and set how often stock updates.
  4. Map orders. Store orders become NetSuite sales orders with the customer, items, GST, shipping and payment method.
  5. Return fulfillment data. When the warehouse ships, the item fulfillment sends the carrier and tracking number back to the store.
  6. Bill the right way. If you plan to use Shopify Payout Report Sync, bill store orders as cash sales and refund them as cash refunds, both left undeposited.
  7. Name the error owner. Failed records sit in the connector's error list. One person checks it each morning and fixes the cause, not just the record.

If you scan stock in the warehouse, the same item and location setup feeds your pick and pack flow. Our barcode scanning worked example for Australian warehouses shows how those scan points fit together.

How should payouts and buy now pay later settlements be reconciled?

A payout is what your payment provider sends to your bank after fees and refunds. It never equals the day's orders, so you reconcile it as a group.

Shopify payouts

For Shopify Payments, NetSuite Connector's Payout Report Sync creates one deposit per payout. It pulls in the matching cash sales and cash refunds and adds the provider's fees as deposit lines. You set the accounts on the Settlement tab, including a Payout Undeposited Account for anything that does not match.

A hypothetical payout makes it concrete. Orders of A$12,100 less refunds of A$220 and fees of A$330 give a bank deposit of A$11,550. The NetSuite deposit should show the same three parts and the same total.

Buy now pay later settlements

Buy now pay later providers also pay you net of a merchant fee, and their settlement report shows the fee and the GST on that fee. Post the gross sale to a clearing account for that provider. Then import each settlement, post the fee with its GST and clear the balance to the bank. Our guide to reconciling Shopify and NetSuite from orders to payouts covers the matching rules in more detail.

What to check this week

Run this list after a busy sales weekend.

  1. Pick five recent orders and confirm the GST in NetSuite matches the store to the cent.
  2. Find one partial refund and check that the credit reversed only the refunded lines.
  3. Compare last week's payouts with the NetSuite deposits and clear anything in the Payout Undeposited Account.
  4. Check that each provider clearing account is close to zero after the last settlement.
  5. Look at the connector error list and count how many records failed for the same reason.
  6. Check one store location's stock against NetSuite at the same moment.

If any of these drift, the fix is usually a mapping rule, not more manual work.
