NetSuite Retail Promotion and Markdown Reconciliation

Reconcile a retail promotion by following the discount from the approved offer to order lines, invoices, returns and any supplier funding. Preserve the promotion identifier and the customer's actual net price. A campaign sales total cannot explain whether the right customers received the right discount or whether returned goods were credited correctly.

Keep permanent markdowns, temporary promotions and discretionary concessions distinguishable in the data. They can reduce revenue in similar ways while having different owners, approval evidence and margin consequences.

Define the offer as a measurable rule

Record eligible items, customers, channels, locations, dates and currencies. Specify the discount basis and whether the offer applies before or after other concessions. Include quantity thresholds, exclusions, redemption limits and free-gift conditions where applicable.

Decide which event determines eligibility when an order is placed before a campaign ends but fulfilled afterward. Write a rule for backorders and amended orders. The merchandising team should approve those outcomes before customer service needs to explain them.

Assign one owner for the offer definition and another for financial reconciliation. Marketing can confirm the promised experience, while finance verifies revenue, tax and funding treatment. The same promotion identifier should connect their evidence.

Verify the enabled promotion behavior

NetSuite's Auto-Apply Promotions considers eligible active promotions configured for automatic application. The best-offer logic and combination rules determine which discounts apply. Eligibility alone does not mean every available promotion will be used.

The documented best-offer process treats free gifts differently from ordinary discount comparisons. Test any gift component separately, including stock availability and returns. Do not assume that the largest visible percentage always represents the complete customer benefit.

Confirm whether each channel uses native SuitePromotions, an external commerce engine or another mechanism. A website-calculated discount imported as an amount requires a different reconciliation from a promotion calculated inside NetSuite. Avoid recalculating the same incentive twice.

Preserve gross, discount and net amounts

Keep the original merchandise amount, each discount component and the net selling amount at the transaction grain needed for returns. Show shipping and tax separately rather than blending them into an unexplained total.

For order-level discounts, define how amounts are allocated to individual lines. That allocation supports partial returns and product profitability. Test rounding across small-value lines so the sum of line discounts agrees with the order discount.

Retain the source channel and order identifier through to the NetSuite transaction. If the connector summarizes activity, require a reconstructable supporting schedule. A daily net-sales journal may balance while leaving individual customer pricing errors invisible.

Reconcile returns using the original offer

A return can occur after the campaign expires or after an item's list price changes. Establish how the original discount is reflected in the credit and whether a partial return affects a threshold or bundled offer under the approved policy.

Test buy-one-get-one scenarios, gifts and returns of only one item from a discounted bundle. The expected customer outcome must come from the published terms and applicable obligations, reviewed by the responsible team. The system should not invent a new rule at the returns counter.

Separate the financial refund from inventory disposition. A damaged promotional item may require a customer credit while remaining unavailable for sale. Keep the receipt, inspection, credit and payment evidence linked without assuming they all complete together.

A hypothetical campaign bridge

Assume a fictional retailer sells 100 identical units at a list price of USD 80. A 15% promotion applies to every unit. Tax and shipping are excluded from this illustration.

Gross merchandise sales are USD 8,000. Discounts are USD 1,200, leaving USD 6,800 of net merchandise sales. The net price per unit is USD 68.

Ten units are later returned under a policy that refunds the original net merchandise price. Gross returns are USD 800, the associated discount reversal is USD 120, and the net merchandise credit is USD 680. After those returns, gross sales less gross returns are USD 7,200; net discounts are USD 1,080; net merchandise revenue is USD 6,120.

If a supplier agreement separately funds USD 3 per retained eligible unit, 90 retained units support an illustrative USD 270 claim. That claim needs its own agreement and accounting treatment. It should not be silently added to customer revenue simply because it helps explain campaign economics.

Separate supplier funding from customer discounts

Identify whether a supplier contributes through a rebate, marketing allowance, credit or another arrangement. Preserve eligibility, claim dates and required proof. Marketing's expected funding amount may differ from the amount finance can recognize or collect.

Track submitted, approved and settled funding separately. Reconcile returns and canceled orders if the agreement reduces entitlement. A customer discount that has already been granted remains a real transaction even when the supplier rejects the retailer's claim.

Present campaign profitability using clearly defined cost and funding assumptions. Show a view before disputed funding if it materially affects the conclusion. That prevents a successful-looking campaign from depending on an unresolved commercial recovery.

Check channel and tax consistency

Compare the offered price and the final transaction for web, store and assisted-order channels. Include coupons entered manually, promotion codes passed by integrations and staff overrides. An offer can work on the main website while failing through a different order route.

Have the tax owner approve how discounts and returns affect the taxable basis for relevant jurisdictions. Test the installed tax solution and transaction design. Do not assume one tax outcome applies to every discount type or every country.

Reconcile payment settlements separately from promotional revenue. Processor fees, delayed settlement and refunds can explain why the bank deposit differs from net sales. The promotion review should feed that broader reconciliation without attempting to replace it.

Turn exceptions into decisions

Create categories for missing promotion, duplicate discount, wrong eligibility, expired offer, return allocation and funding dispute. Record affected orders, monetary exposure and the customer-facing consequence. Prioritize errors that continue to affect live transactions.

Is a markdown the same as a promotion?

They may both reduce the selling price, but they can have different duration, approval and reporting purposes. Preserve separate reason codes so merchandising and finance can evaluate each decision accurately.

Does an eligible promotion always apply automatically?

No. Automatic application depends on configuration, active status, eligibility and combination rules. Test the actual best-offer outcome, particularly when multiple incentives or free gifts are involved.

Should a return use today's item price?

Start with the original transaction and approved return policy. A changed list price or expired promotion should not by itself determine the credit. Preserve the original allocated discount for partial returns.

Can supplier funding be netted against the customer discount?

Only under an explicitly approved reporting and accounting treatment. Reconcile the funding claim separately, including eligibility, disputes and settlement, so uncollected support does not disappear inside campaign totals.

Why does the bank settlement differ from net campaign sales?

Settlement can include fees, timing differences, refunds and activity outside the campaign. Reconcile those components through payment clearing while keeping the merchandise and promotion bridge independently traceable.
