NetSuite lead to cash in Singapore runs from the first inquiry to cash in the bank on one customer record. A lead becomes a prospect when you open an opportunity or quote, and a customer when you make a sale. The checklist below names the owner, the NetSuite record and the GST check for each step.
What is NetSuite lead to cash in Singapore?
Lead to cash is the full path from a new inquiry to a paid invoice. It covers the sales half (lead, opportunity, quote) and the finance half (sales order, fulfillment, invoice, receipt). Order to cash, by contrast, starts at the sales order. In NetSuite, the two are simply one longer chain of linked records on the same customer.
NetSuite handles both halves in one system. Leads, prospects and customers are all stages of the same customer record. The Stage field moves on its own as the work progresses:
- A lead has no opportunities, estimates or transactions yet.
- When you create an opportunity or an estimate for a lead, it becomes a prospect.
- When you create a sales order, invoice or cash sale, or close an opportunity as won, it becomes a customer.
Because the record never changes, the source of the lead, the quote history and every invoice sit together. For a Singapore team, that also means the GST registration number, billing address and credit terms are captured once and reused on every document.
Who owns each stage of lead to cash in NetSuite?
Many lead to cash problems come from handoffs, not from the system. Write down one owner for each stage before you change any settings. Then agree what "done" means at each handoff, for example a sales order is ready for the warehouse only when the terms, ship to address and credit check are complete.
| Stage | NetSuite record | Typical owner | What they check |
| Inquiry | Lead | Marketing or sales development | Source, campaign and contact details |
| Qualified deal | Opportunity | Account manager | Value, probability and expected close date |
| Quote | Estimate | Account manager with sales operations | Price level, discount approval and expiry date |
| Order | Sales order | Sales operations | Customer terms, credit limit and ship to address |
| Delivery | Item fulfillment | Warehouse or service delivery | Quantities, dates and proof of delivery |
| Billing | Invoice | Accounts receivable | Tax code, GST amount and tax invoice details |
| Receipt | Customer payment and deposit | Accounts receivable | Payment applied to the right invoice |
In a small team one person may hold three of these roles. That is fine, as long as the record shows who did what. NetSuite keeps a System Notes history on each transaction, so you can see every change and the user who made it.
How do you set up leads and opportunities in NetSuite?
These first six items make sure the pipeline is clean before a quote is ever sent.
- Agree the customer statuses. Use a short list such as Unqualified, Qualified, In Discussion, Proposal and Closed Won. Your administrator sets the list and the stage each status belongs to. A short list makes the pipeline report easy to read.
- Capture the lead source and campaign. Make Lead Source a required field on the lead form. Later you can see which campaigns produce paying customers, not just inquiries.
- Search for duplicates before you create a lead. Turn on duplicate detection for customer records and set the match rules to fields such as company name and email. Duplicates split the history and confuse credit checks later. When you find a pair, merge the records rather than deleting one, so the activity history stays whole.
- Assign every lead to a sales rep. Use the Sales Rep field, or territory rules if you have set them up. Unassigned leads tend to wait. A saved search of leads with no activity in the last seven days, sent to each sales manager every Monday, keeps the queue moving.
- Open an opportunity for every real deal. Record the projected total, the probability and the expected close date. This feeds the forecast and gives finance an early view of revenue. Ask reps to update the close date when a deal slips, rather than leaving an old date in place. A forecast built on stale dates misleads both sales and finance.
- Record the Singapore company details early. Capture the customer's UEN and GST registration number on the customer record, in a tax registration or custom field. Finance can then check each customer's GST status before the first invoice. Your own GST number prints on every tax invoice from the invoice template.
How should quotes and sales orders be checked before approval?
The quote and the order are where pricing and terms become commitments. These four items stop most billing disputes before they start.
- Build quotes as estimates from the opportunity. Create the estimate from the opportunity record, not from a blank form. Items and company details carry over, and the estimate stays linked to the opportunity.
- Use price levels and an approval rule for discounts. Set standard prices on the item record. Send any discount above an agreed percentage for approval with a SuiteFlow workflow. This keeps margin decisions visible.
- Set an expiry date on every estimate. Prices and stock change. An expired quote should not become an order without a fresh look. Use a saved search of estimates that expire in the next seven days so reps can follow up while the price still holds.
- Convert the accepted estimate to a sales order. Open the estimate and click Sales Order. NetSuite fills in the order from the estimate, so nothing is retyped. Before approval, check the customer's terms, the ship to address and the credit limit. Set Customer Credit Limit Handling to Warn Only or Enforce Holds in the accounting preferences. NetSuite then warns or blocks a sales order that takes a customer to or past the limit. Estimates are not checked, so the credit check belongs at the order.
If some lines ship straight from your supplier to the customer, NetSuite can create the purchase order for you. Our guide to NetSuite drop ship orders explains how that flow works.
What does a Singapore invoice need before it goes out?
This is the step where Singapore rules matter most. Get the invoice right and the GST F5 return becomes much easier at quarter end.
- Use the correct GST tax code on every line. Standard rated supplies in Singapore carry GST at 9%. Exports and other zero rated supplies use a zero rated code. Keep the tax code on the item or customer where you can, so reps rarely choose it by hand. The Singapore localization in NetSuite provides these tax codes, so the invoice and the GST reports agree.
- Print a compliant tax invoice. A full tax invoice carries the words "tax invoice" and shows your name, address and GST registration number. It also shows the invoice number and date, the customer's name and address, and a description of the goods or services with quantity and unit price. Last, it shows the total before GST, the GST rate and amount, and the total payable. Our guide to the NetSuite tax invoice template for Singapore shows how to set the layout once. - Plan for InvoiceNow. IRAS is phasing in the GST InvoiceNow Requirement. New voluntary GST registrants have been covered since 1 April 2026. Existing GST registered businesses join in phases from 1 April 2028 to 1 April 2031, depending on their annual supplies. If your date is coming, choose your InvoiceNow route in NetSuite now, so invoice data can reach IRAS without extra rekeying. Confirm your own date and scope with your tax adviser.
How do you close the loop from receipt to report?
Cash in the bank is the end of lead to cash, but the work is not done until the receipt is matched and the numbers flow back to sales.
- Apply every receipt to the right invoice. Singapore customers often pay by PayNow, GIRO or bank transfer, sometimes with one payment for several invoices. Record a customer payment, apply it to the open invoices and deposit it. Our guide to NetSuite cash application for Singapore covers the matching rules.
- Watch overdue invoices weekly. Use the A/R aging report and a saved search of invoices past their due date by sales rep. Sales reps can then help with collections on their own accounts. For larger balances, set up a short reminder sequence by email from NetSuite, with a named person in finance as the contact. Keep the tone friendly. Late payments often come from a missing purchase order number or a wrong billing contact, not from an unwilling customer.
- Report the whole path on one dashboard. Build saved searches for leads by source, opportunities by stage, quotes about to expire, orders not yet invoiced and invoices overdue. Put them on a dashboard for the sales lead and the finance lead. Both teams then work from the same numbers. Review the dashboard together once a month and agree one change to try before the next review.
A hypothetical example shows why item 16 matters. A Singapore distributor sees 40 new leads in a month. Twelve become opportunities, eight get quotes and five become orders worth SGD 50,000 before GST.
With GST at 9%, the invoices total SGD 54,500. If three of those invoices sit unpaid at day 45, the dashboard shows it to sales and finance on the same morning.
Frequently asked questions
Is lead to cash the same as order to cash in NetSuite?
No. Order to cash starts when a sales order is entered and ends when payment is applied. Lead to cash adds the sales half before it: the lead, the opportunity and the quote. In NetSuite both halves sit on the same customer record, so you can report on the full path from first inquiry to paid invoice.
Does NetSuite turn a lead into a customer automatically?
Yes. A lead becomes a prospect when you create an opportunity or estimate for it. It becomes a customer when you create a sales order, invoice or cash sale, or when an opportunity is closed as won. You can also change the status by hand, and NetSuite keeps the history on the record.
Do Singapore invoices from NetSuite have to go through InvoiceNow?
It depends on your business. New voluntary GST registrants must already send invoice data to IRAS through InvoiceNow. Existing GST registered businesses join in phases between April 2028 and April 2031, based on annual supplies. Check your own date with IRAS or your tax adviser, then plan the NetSuite setup early.
Do we need a separate CRM for lead to cash in NetSuite?
Many Singapore companies run the whole process inside NetSuite. It includes leads, opportunities, estimates, campaigns and sales forecasts on the same platform as orders, invoices and payments. If your sales team already uses another CRM, NetSuite can stay the system of record for customers and transactions through an integration.
At CuriousRubik, we set up lead to cash as one process with clear owners, then test it end to end before go live. Our NetSuite implementation team can map your pipeline, quotes, GST invoices and receipts in your sandbox account. Read more about our work with NetSuite customers in Singapore.
